Salary Range: $68,000 - $85,000 - $102,000

Position Summary:

The Operations & Engagement Manager, Quilt & Kit Ministry is an integral member of the Quilt & Kit Ministry Team and is responsible for the complex system of logistics, program coordination, donor, volunteer and warehouse relationships, data reporting and analysis, and process improvement and implementation.

The Quilt & Kit Ministry is a Lutheran World Relief branded program and receives approximately $19 million annually in gifts-in-kind (including handmade quilts, school kits, personal care kits, baby care kits, and fabric kits) from Lutheran congregations and individuals from across the United States. Most of these items are collected by volunteers at Ingatherings and transported to one of two contracted warehouses for processing, storage, and packing/preparation for shipment and distribution.

The Operations & Engagement Manager, Quilt & Kit Ministry will understand the faith and driving forces of the program's supporters and volunteers and will ensure they are valued and have an exceptional experience.

Responsibilities:

Program Coordination & Engagement

  • Coordinate and engage with volunteers across the United States to schedule quilt and kit collections and troubleshoot during Ingatherings as needed. This requires being seasonally available during the Fall and Spring outside regular business hours, including weekends.
  • Serve as the primary point of contact with two contracted warehouses presently located in New Windsor, Maryland and South St. Paul, Minnesota that provide receiving, processing, and packing services for the Quilt and Kit Ministry program.
  • Manage relationships with Ingathering volunteer coordinators, freight forwarders and truck drivers to ensure timely and cost-effective and reliable delivery of trucks for collections; and ensure vendor coordination for smooth and cost-efficient receiving at warehouse locations.
  • Coordinate with the internal Humanitarian Assistance team, who are responsible for partner management and Quilt and Kit distribution, around inventory and shared information tracking, including high-level coordination between the warehouses and the team for outgoing shipment requests and planning.

Logistics and Transportation

  • Travel to various Ingatherings across the United States to provide support to key leaders and site coordinators and to engage with donors during collections. This will include observing and documenting operations for the purpose of continual process improvement.
  • Develop and implement a logistics process and Standard Operating Procedures (SOP) for quilt and kit collection and transportation.
  • Drive and/or coordinate driving a 26' rental truck for smaller collections across the United States. This includes loading and unloading the truck, with or without a lift gate or hand truck, containing boxes of donations weighing up to 50 pounds. This may also include the use of local storage facilities, working with freight forwarders or local truck yards to combine collected loads, or direct delivery to one of the two warehouses.
  • Implement a new tracking system, designed by Corus subsidiary CGA Technologies, and lead the rollout of the platform to donors and warehouses.

Tracking, Reporting and Data Management

  • Perform day-to-day maintenance, monitoring, troubleshooting, and serve as the main point of contact for tracker-related questions.
  • Receive and track weekly and monthly inventory reports from both warehouses and capture relevant data in internal shared systems. Ensure inventory information is updated and readily available across multiple departments.
  • Complete monthly inventory journal vouchers for submission to Finance & Administration team. This will include coordination with the internal Humanitarian Assistance team for packing lists and outgoing shipment information.
  • Provide monthly updates and inventory analysis to team leaders and updates to department and organizational leadership as requested.
  • Perform departmental budget tracking and process all program invoices for payment in a timely and accurate manner.

Required Qualifications:

  • Bachelor's degree and five years' relevant work experience; or the equivalent combination of education and experience.
  • Experience must include donor/customer engagement, program operations and logistics support.
  • Must have a current and valid drivers' license.
  • A background check and driving record will be required.
  • Must be able to travel up to 25% domestically during the Fall and Spring collection seasons.
  • Must be able to lift boxes up to 50 pounds.
  • Must be available to work during non-core business hours, including evenings and weekends.
  • Experience working with MS office-based computer systems required.

Preferred Qualifications:

  • Experience working with faith-based volunteers preferred.
  • Non-profit experience preferred.
  • Project management experience preferred.
  • Experience facilitating change management preferred.

Physical and Mental Requirements

  • The physical requirements that may be needed to execute responsibilities may include bending, standing, and walking, etc. Must be able to lift, carry or otherwise move up to 50 pounds during peak Ingathering seasons (Fall and Spring).
  • The mental requirements that are essential to satisfactorily executing the responsibilities outlined in this job description include, but not limited to: learning new tasks, comprehending, and retaining information, completing tasks independently, effectively communicating verbally and in writing, demonstrating proficiency in using computer software to perform assigned tasks.

Working Conditions, Travel and Environment

  • Corus has a hybrid work policy, allowing work to be done remotely; two days per week (Tuesday and Wednesday) in the office is required. The employee must be available to work outside normal office hours or weekends as required.
  • This position must be able to travel as required for standard domestic business purposes.
  • If applicable, must have authorization to work in the country of assignment.
