Job Summary:

The OKAG Network Pastor serves as the organizations Superintendent, President, and Chief Executive Officer (CEO). The Executive Administrative Assistant to the Network Pastor provides executive-level administrative support and serves as a trusted liaison among the CEO, the leadership team, key stakeholders, and external partners. This role is responsible for coordinating the CEOs day-to-day activities, managing sensitive information with discretion, and helping ensure the CEOs time and resources are used effectively to advance organizational priorities.

The Executive Administrative Assistant is a highly visible position that helps set the tone and pace of the Network Pastors Office and represents the CEO with professionalism in both internal and external interactions. The successful candidate is proactive, detail-oriented, and able to anticipate needs, prioritize competing demands, and remain composed under pressure. Strong administrative systems, sound judgment, and excellent interpersonal and communication skills are essential.

Duties/Responsibilities:

Executive Support

  • Manage the CEOs calendar, including scheduling meetings, coordinating travel, and resolving conflicts.
  • Prepare for meetings by coordinating agendas and materials and recording minutes, as needed.
  • Monitor and prioritize email, phone, and other correspondence; respond on behalf of the CEO when appropriate.
  • Draft, edit, and proofread correspondence, reports, presentations, and other documents.
  • Prepare and submit the CEOs expense reports in accordance with organizational policies.

Administrative Management

  • Maintain and organize critical records and documents, ensuring appropriate access and security.
  • Track projects and action items assigned by the CEO; follow up to support timely completion.
  • Coordinate logistics for executive meetings, board meetings, and events, including venue, catering, technology, and materials.

Relationship Management

  • Serve as a point of contact between the CEO and internal/external stakeholders, supporting strong professional relationships.
  • Coordinate communications with board members, partners, and other key stakeholders with a high level of professionalism and discretion.

Confidentiality and Professionalism

  • Maintain confidentiality and handle sensitive information with discretion.
  • Demonstrate sound judgment and professionalism, including in high-pressure situations.

Special Projects

  • Support strategic initiatives and special projects assigned by the CEO.
  • Conduct research and prepare briefs to support planning and decision-making.

Required Skills/Abilities:

Skills and Competencies

  • Demonstrated commitment to faith in Christ and to the Assemblies of God core doctrines and beliefs.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft 365 applications (Word, Excel, Outlook, and Teams) and familiarity with virtual meeting platforms.
  • Ability to manage multiple priorities with flexibility and to work independently in a fast-paced environment.
  • High degree of discretion, professionalism, and emotional intelligence.

Educational Experience:

  • High school diploma or equivalent.
  • Five (5) or more years of relevant experience supporting a C-suite executive.
  • Five (5) or more years of relevant experience working in a faith-based organization.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Occasional extended workdays of 10 or more hours.
  • Occasional evening and weekend work.
  • Occasional overnight travel.
